As a nonprofit mentoring organization serving young ladies ages 12–18, we recognize that we have a special responsibility to safeguard information concerning minors. We are committed to collecting only the information reasonably necessary to provide our programs and services and to handling that information responsibly and confidentially. Information We May Collect EmpowHER Purpose may collect personal information from mentees, parents, legal guardians, volunteers, mentors, donors, sponsors, and other individuals who interact with our organization. Information may include: Mentee's full name Date of birth and/or age Parent or legal guardian's name Home or mailing address Telephone numbers Email addresses Emergency contact information Relationship of emergency contacts to the participant School and grade-level information when necessary for program services Program enrollment and participation information Parent/guardian consent and authorization information Signatures and dates Information submitted through website forms Information provided through email or telephone communications Information submitted on paper enrollment or program forms Photographs, videos, or other media when appropriate authorization or consent has been obtained Other information voluntarily provided to EmpowHER Purpose for participation in our programs and services We seek to limit the collection of personal information to information reasonably necessary to administer and provide EmpowHER Purpose programs and services. 2. Mentee and Minor Participant Information EmpowHER Purpose places particular importance on protecting information that identifies or could reasonably identify a minor participant. Personally identifiable information concerning a mentee may include, but is not limited to, the participant's name, date of birth, address, telephone number, email address, school information, photographs, videos, emergency contact information, enrollment information, and other information that could be used individually or in combination to identify the participant. Information concerning mentees will be used for EmpowHER Purpose program services only, except when disclosure is required by law, necessary to address an emergency or protect someone's safety, or separately authorized by the participant's parent or legal guardian as permitted by law. EmpowHER Purpose will not sell, rent, trade, or commercially distribute personally identifiable information belonging to mentees. 3. Parent and Guardian Information We may collect information from parents and legal guardians to enroll participants, communicate about programs, obtain necessary permissions and consents, provide program information, maintain emergency contacts, and administer services. Parent and guardian information may include names, addresses, telephone numbers, email addresses, signatures, emergency contact information, relationship information, and other information necessary for program administration. This information will be used for EmpowHER Purpose program services and administration and will not be sold or rented to third parties. 4. How We Use Information Information collected by EmpowHER Purpose may be used to: Enroll and register mentees Administer mentoring programs and activities Communicate with parents and legal guardians Coordinate program sessions, workshops, activities, and events Maintain appropriate emergency contact information Manage participant records Obtain and document parental or guardian consent Provide educational, leadership, mentoring, community service, and other nonprofit program services Maintain the safety and administration of our programs Respond to questions and requests from parents or guardians Fulfill legal or regulatory obligations applicable to the organization Personally identifiable mentee and parent/guardian information will not be used for unrelated commercial purposes. 6. Children's and Minors' Privacy EmpowHER Purpose serves young people between the ages of 12 and 18. We take the privacy of minors seriously. When parental or legal guardian consent is required by applicable law or organizational policy, EmpowHER Purpose will seek appropriate consent before collecting or using a minor's personal information. Children under 13 should not independently submit personal information through our website without the involvement or authorization of a parent or legal guardian. Parents and legal guardians who believe their child has submitted personal information without appropriate authorization should contact EmpowHER Purpose so that we can review the matter and, when appropriate, delete the information. 7. Photographs, Videos, and Media EmpowHER Purpose may photograph or record activities, events, workshops, community service projects, or other program experiences. When required or appropriate, EmpowHER Purpose will obtain parent or legal guardian permission before using identifiable photographs or videos of minor participants for promotional, educational, fundraising, social media, website, or public-relations purposes. A participant's private enrollment information, home address, personal telephone number, or other sensitive identifying information will not intentionally be published with a photograph or video. Media consent may be handled separately from general program enrollment so that parents and guardians can understand how photographs and videos may be used. 8. Sharing and Disclosure of Personal Information EmpowHER Purpose does not sell or rent mentee or parent/guardian personal information. We may disclose information when reasonably necessary to: Provide or administer program services; Work with service providers that assist us in operating our programs or website and that are expected to appropriately safeguard information; Respond to an emergency involving a participant; Protect the health or safety of a participant or another individual; Comply with applicable law, court orders, subpoenas, governmental requests, or other legal obligations; or Investigate or prevent suspected fraud, misuse, unlawful conduct, or threats to safety. We seek to limit disclosures to the information reasonably necessary for the particular purpose. 9. Confidentiality of Participant Records Mentee enrollment records and other participant information are intended to be treated as confidential organizational records. Access should be limited to authorized EmpowHER Purpose personnel, volunteers, mentors, contractors, or service providers who reasonably need the information to perform authorized program-related responsibilities. Mentors and volunteers should not independently disclose, publish, copy, or distribute a participant's personal information except as authorized by EmpowHER Purpose or required by law. 10. Data Security EmpowHER Purpose takes reasonable administrative, organizational, physical, and technical measures intended to protect personal information from unauthorized access, disclosure, loss, misuse, or alteration. These measures may include limiting access to participant records, appropriately securing paper records, using password-protected systems, and limiting access to individuals with a legitimate program-related need. However, no website, email system, electronic storage system, or method of transmitting information over the Internet can be guaranteed to be completely secure. Therefore, EmpowHER Purpose cannot guarantee absolute security. 11. Paper Records Information collected through paper enrollment forms or other physical documents will be handled with reasonable safeguards. Paper records containing personally identifiable participant information should be stored in locations where access is limited to authorized individuals. When records are no longer required, EmpowHER Purpose may securely destroy or dispose of them in accordance with applicable organizational record-retention practices and legal requirements. 12. Website and Online Information Our website may automatically collect limited technical information when visitors access the site, such as browser type, device information, IP address, pages visited, or similar website usage information. The website may also use cookies or technologies provided by our website platform or service providers to support website functionality, security, analytics, and performance. Donations and Sponsorships When individuals donate to or sponsor EmpowHER Purpose programs, information necessary to process the transaction may be collected. EmpowHER Purpose should not receive or retain complete payment-card information when transactions are processed directly by an authorized third-party payment provider. A sponsor will not automatically receive a mentee's private identifying information because the sponsor financially supports a participant or program. EmpowHER Purpose will not disclose a mentee's home address, personal telephone number, private email address, school information, family information, or other confidential identifying information to a sponsor unless a parent or legal guardian has specifically authorized the disclosure and the organization determines that the disclosure is appropriate. 14. Parent and Guardian Rights Subject to applicable law and organizational requirements, a parent or legal guardian may contact EmpowHER Purpose to request: Access to personal information maintained about their minor child; Correction of inaccurate participant or parent/guardian information; An explanation of how information is being used; Withdrawal of certain optional permissions or consents; or Deletion of information when the organization is not legally or operationally required to retain it. Certain information may need to be retained for legal, safety, financial, insurance, recordkeeping, or legitimate nonprofit administrative purposes. 15. Data Retention EmpowHER Purpose intends to retain personally identifiable information only for as long as reasonably necessary to provide programs and services, maintain appropriate organizational records, comply with applicable legal obligations, resolve disputes, or protect the organization and its participants. Information that is no longer reasonably necessary should be securely deleted, destroyed, or anonymized when appropriate. 16. Protection Against Unauthorized Use Names, photographs, contact information, enrollment records, or other identifying information belonging to EmpowHER Purpose mentees may not be collected from EmpowHER Purpose records and used for independent solicitation, advertising, marketing, fundraising, commercial activities, or other unauthorized purposes. Mentors, volunteers, sponsors, contractors, and other individuals associated with EmpowHER Purpose are expected to respect the confidentiality and privacy of participants and their families. 17. Changes to This Privacy Policy EmpowHER Purpose may update this Privacy Policy periodically to reflect changes in our programs, website, technology, organizational practices, or applicable legal requirements. When significant changes are made, the revised policy will be posted on our website with an updated "Last Updated" date.
